The punch list is the difference between a job that ends and a job that drags. Every open item is a reason final payment sits unpaid, so getting them written down and closed out is how you get to the last check.
Walk the job and log each item by location and what is wrong, note the trade responsible and the status, and check it off when it is done. The PDF is built for exactly that walk, clipboard in hand. The Excel version is the same list if you would rather track it at a desk and sort by trade.
Be specific on location and deficiency so nobody has to guess what "fix the trim" meant three rooms ago. A clear item gets fixed once; a vague one gets argued about.
Do not send final billing while items are open. A short, closed punch list is what lets you invoice the retainage and the last draw with nothing hanging over it.
