Commit the cost in writing
A purchase order does two jobs: it tells the vendor exactly what you want, and it puts the cost on paper before the invoice shows up. Both save arguments and surprises.
Fill in the vendor and ship-to, the job it is for, and the date you need it. Add the line items with a quantity, unit, and unit cost, and the Excel version totals each line plus the subtotal, tax, and total. The PDF is the same layout, ready to print.
The real value is on your side of the ledger. A PO is a committed cost the moment you sign it, even though the bill has not arrived. Writing it down is how you keep committed costs from sneaking up on a job that looked fine on budget.
Give each PO a number and tie it to a job. When the invoice comes, you match it to the PO and catch the overbill before you pay it.
