Keep equipment and labor straight
Customers ask two questions about an HVAC quote. What is the equipment, and what is the labor. An estimate that answers both up front is an estimate they trust.
Put the condenser, coil, and furnace in an equipment section. Put the removal, set, lineset, and startup in an install section. Each section shows its own subtotal, so the price reads clearly instead of as one big number.
Add a deposit due on acceptance so you are not floating the equipment cost. List your exclusions, like duct modifications priced separately, so a surprise does not turn into a fight.
Download the branded PDF and send it. If you would rather not show your unit costs, turn off line prices and the customer sees scope and totals only.
