Add & edit customers

Create customers, add their contacts, and keep them in sync with QuickBooks.

Updated October 15, 2026

A customer is who you estimate for, bill and collect from. Every project belongs to one customer. If you connect QuickBooks Online, import your customers from QuickBooks before you create new ones in Werx. That keeps the two lists matched.

  1. In the left navigation, click Revenue > Customers.
  1. Click Add Customer in the top right.
  1. Fill in the Customer details. If customer numbering is set to Manual in Advanced Settings you can type a number here; with Auto numbering the number is assigned when you save.
  2. To use a different mailing address, check Mailing Address is different from above and enter it.
  3. Under Customer Settings, choose the Default Terms for this customer. They become the default payment terms on the customer's projects and can be changed per project or invoice.
  4. The Active toggle in the bottom left makes the customer active or inactive. For QuickBooks-connected accounts, tick Send to QuickBooks before saving to sync the customer.
  5. Click Next to save the customer and open the Contacts step, where you can add as many contacts as you like and mark one as the primary contact.
  6. To edit a customer later, open Revenue > Customers, click the customer, then click Edit in the top right.

Contacts

The Contacts step holds the people at the customer. Add as many as you like and mark one as the primary contact. When you create a project you pick which contacts get the estimates, invoices and pay applications.

Edit a customer

Open Revenue > Customers, click the customer, then click Edit in the top right. Make your changes and click Finish. Use the Active toggle in the bottom left to deactivate a customer you no longer work with. Inactive customers keep their history.

QuickBooks Online

For connected accounts, tick Send to QuickBooks before you save and the customer is created in QuickBooks too. If the box is greyed out, an administrator should check the QuickBooks connection.

Customers FAQ

Can I import customers from a spreadsheet?

Yes. Use the caret next to Add Customer and choose Import from Excel. Werx gives you a template to fill in.

Why does the customer number say Auto #?

Numbering is set to Auto in Advanced Settings, so Werx assigns the next number when you save. Switch to Manual there if you want to type your own.

What are default terms?

The payment terms applied to this customer's new projects and invoices. You can change them on any project or invoice.
